DEPARTMENT: Facilities

REPORTS TO: Director of Facilities and Sustainability Management

GENERAL SUMMARY: The Facilities Manager will manage maintenance of all buildings including equipment maintenance and special exhibit and construction projects to the highest level of sustainability. PRINCIPAL DUTIES AND RESPONSIBILITIES

  1. Maintain an excellent level of staff morale in the department and contribute to the staff morale in the company overall.
  2. Supervise and direct maintenance personnel in maintaining, cleaning and repairing facilities and equipment.
  3. Manage the planning and installations of special exhibits and seasonal flower shows. Establish method of determining when projects should be done in house or purchased/contracted out, i.e., building props, electrical work, etc.
  4. Assist Director of Facilities and Sustainability Management in establishing maintenance policies and procedures and ensure that all maintenance staff members are trained in their observance.
  5. Establish and enforce ongoing preventive maintenance calendar and work request systems.
  6. Responsible for timely and economic maintenance and repair of buildings and infrastructure.
  7. Coordinate with Sustainability Manager to ensure Facilities operations meet relevant standards (i.e., Sustainable Purchasing, Waste Management, Energy Measurement, Green Cleaning, etc.).
  8. Direct and coordinate staff and equipment used for performing grounds and building upkeep and repair.
  9. Coordinate purchasing of supplies, tools and equipment for grounds and building upkeep and repair.
  10. Meet the maintenance needs of other departments on a timely basis and to their satisfaction.
  11. Perform operations and maintenance in such a way as to have little negative impact on the public. Achieve Phipps goal of Show Time all the time.
  12. Meet high goals set for sustainable buildings and operations.
  13. Develop and implement all safety and security measures including outside agencies, electronic systems and backup systems.
  14. Responsible for adherence to all OSHA guidelines. Chair safety program throughout organization.
  15. Provide oversight to our housekeeping department.
  16. Meet all requirements for preparing quarterly reports and other reports within the scheduled time frames.
  17. Safely operate Conservatory vehicle to make deliveries, pick up supplies, take receipts to bank, etc.
  18. Perform other duties as required.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  1. Must have strong organizational and management skills.
  2. Ability to communicate well with all levels of people in a friendly and professional manner.
  3. Able to utilize computer software and Microsoft Word, Outlook, Excel, and Project.
  4. Able to work alone as well as in a team environment.
  5. Able to use manual tools in all kinds of weather and conditions.
  6. Considerable knowledge of material, equipment and tools used in cleaning, maintenance and repair of buildings and garden areas.
  7. Knowledge of basic trades and mechanical systems.

PHYSICAL, MENTAL AND SENSORY DIMENSIONS

  1. Physical mobility: sitting, standing, walking, lifting/carrying objects up to 100 pounds; manual dexterity to operate keyboard.
  2. Mental effort: reading, writing, analyzing, and visualizing.
  3. Sensory requirement: Ability to communicate and respond to staff in a friendly, professional and fair manner.
  4. Able to supervise both skilled and unskilled laborers.
  5. Strong work ethic in all areas of job performance.
  6. Ability to communicate and respond both in person and over the phone to the general public, staff, volunteers and board members in a friendly and professional manner.
  7. Able to work under deadlines and stress.

WORKING CONDITIONS

  1. Ability to provide own transportation to perform principal responsibilities.
  2. May require evening and weekend work, both indoor and outdoor locations.
  3. Will have occasion to work in or pass through any area of the Conservatory or growing houses.

MINIMUM POSITION GUIDELINES (Education, Experience and Certification)

  1. Two to four-year degree in appropriate field.
  2. Prior botanical garden, landscape installation and maintenance experience.
  3. Must possess and maintain throughout employment a valid Pennsylvania Class1 driver's license.
